Who we are

This policy describes information used for our marketing website, inquiries and managed website service. A business using our platform may be responsible for information collected through its own website. Consult that business's privacy notice for its purposes and contact details; we handle its website information to deliver the agreed service.

Information we collect

Our current ReachPilot marketing forms collect your name, email address and message, including information you choose to include. The platform's lead-capture features can also collect an email address or phone number, optional postal code, service and message, and the page, version and widget identifiers associated with the submission. The fields depend on the form used.

Signed-in services use verified email, account identifiers, display names and membership details through Clerk authentication. Service delivery also involves business details, website content, instructions and approvals. Support requests can include a subject, description, category, replies, history and attachments. Supported attachment types are PDF, JPEG, PNG and WebP, up to 10 MB per file. Avoid sending patient records, passwords or other unnecessary sensitive information through general inquiry or support forms.

Where enabled and consented to, first-party analytics records limited website interactions using browser identifiers. It may classify traffic sources and derive coarse country information from infrastructure metadata. It does not store raw referring URLs or query strings for traffic-source reporting.

How we use information

We use information to respond to inquiries, discuss previews and proposals, deliver and maintain agreed websites, administer accounts, handle support, record privacy choices and requests, measure consented website use, and protect the service. Inquiry submission does not require optional analytics consent.

Providers and disclosures

Cloudflare provides platform infrastructure and Clerk provides authentication for signed-in services. We use these providers for their relevant service functions. We may provide information to service providers as needed to deliver agreed functions and where disclosure is required by law. Information may be processed outside your location through provider infrastructure; relevant contractual and legal safeguards apply to the arrangement.

We do not describe deferred billing, automated email or WhatsApp services as active integrations. No Google Analytics or Meta tracking integration was established by the current platform audit.

Retention

Inquiry and lead-capture payloads are stored privately with a 365-day expiry and implemented cleanup. Analytics visitor identifiers last seven days; sessions expire after thirty minutes of inactivity. Raw analytics events and identifier membership are retained seven days, and daily aggregates ninety days. Server consent records default to 730 days and privacy-request records to 1,095 days, subject to review and applicable legal-hold exceptions.

Account, support, website content, financial and related operational records are retained according to their purpose, the active service relationship, outstanding requests, and applicable legal or accounting obligations. Fixed schedules and automatic deletion are not established for all these records. We assess deletion when information is no longer needed, subject to lawful preservation requirements and the relevant customer's responsibilities.

Browser privacy choices are stored by site origin and policy version without an identified automatic browser expiry. Clearing browser storage removes the local choice; a changed policy version may request a new choice.

Your choices and requests

Use Privacy choices to manage optional tracking. Contact contact@zognitive.com to request access, correction, deletion or an opt-out regarding your information. We handle requests manually, may need to verify your identity or authority, and assess the request under applicable law and the relevant customer relationship. Recording a request does not mean it has been automatically fulfilled. We do not promise unconditional immediate deletion or a fixed response time.

Security and changes

We use implemented access controls, private storage and provider services to support security; no system can guarantee absolute security. We will display the effective date of the approved policy and update the notice when relevant practices change.
